Project Templates

    With Project Templates you can use existing projects as templates to create new projects. You can set projects inactive to prevent users from seeing these template projects and making accidental changes. We went one step further and allow you to use existing completed projects with ability to set due dates to one year ahead. So new or old, you can use any project as a template.

    This add-on is part of Freedcamp Business plan.

    We have manually done project replication and learned about all the different situations our users have, so we've focused on ensuring the product will suit your needs. We simply automated the process. Now you have access to a simple 3 step wizard where some options may pop-up depending on your selections.

    Adding/Removing the Project Templates module

    How to use

    You can access it from Manage ProjectsDashboard or Widgets page. Project Group Administrators in your account have access to this module and will be able to use it within your account.

    On step one - you select a project to copy from and type the new project name. You also select what applications will go into the new project. Often you do not want to drag Discussions or Time Tracking entries and if you use Freedcamp we assume that you know that each project can have very own set of applications. If you selected an application where a project you are copying has due dates we let you know.

    On step two - you can either remove all due dates or keep them. We also allow you to shift forward all due dates relatively to the earliest due date in your original/template project.

    At the moment, start dates are not taken into account. If you'd like this feature, please upvote it here. As a workaround, you can choose to not modify the new project's dates and use the shift dates function on each task list after the project is created.

    We have also added an ability to plan backward from the latest due date in a source project.

    On step three - you select if you want to keep team assigned or remove everyone and whether or not you want to make the new project available or keep it as inactive after it will be created.

    Because an original project can have a lot of files we decided not to leave you waiting in front of the screen for a new project to be created but to send you an email with a link to a new project instead.

    What is not copied

    Not everything is copied over to the new project.

    - Creation date: all items in the new projects will have the creation date set as the current date

    - Comments(regardless of item)

    - Progress status: Tasks and Milestones will be set as not completed, Issues will be set as Open.

    - Private items (discussions and wikis) will be copied even if the user duplicating the project does not have access to them(if users are removed from the new project the private items will only be visible to the project owner)

    - Time entries will be marked as not completed and their dates will be set to NULL

    Project Group Administrators

    If you make User A a project group admin in project groups X and Y they can duplicate projects from X to X from Y to Y, from Y to X and from X to Y. They can not 'hijack' a project and copy from X to Z belonging to User A or any other user.  

    Basically, they can duplicate projects in your account and between project groups where they are set as a project group administrator by you.

    Use Cases

    1. Create project group 'Templates' and create your template projects with start/end dates and assigned to people, if it will save you time down the road. 

    2. Use an existing project (including archived) to create a new project.

    3. Use an existing project to make a copy of it in the Templates project group - clean up and use for the future project's creation. 

    During duplication, especially when you copy the actual completed project as per (2-3) above, you can uncheck applications like Calendar and Discussions to skip copying source project meetings and discussions not relevant to a new project.

    If your project scope changed you can always copy task lists from any other project including your template projects to a running project and use Shift Dates to adjust start and end dates on tasks.

    We do not provide actual templates but you can download them or and import as XLS to adjust.

    Splitting a project

    At the moment, project templates can not be used for splitting a project. We recommend using the copy/move tasks and task lists function instead, even though it only works for tasks, not the other applications.
